Guidelines for participation in the Aisha Lemu Festival

We have been directed to inform you that all Chapters are expected to conclude their selection processes and present their list of Participants on 12th August, 2016 at Abuja, during the rescheduled NEC and Commissioning ceremony of the National Headquarters.

Executive Summary:

The committee was tasked with organizing the events and proposing a program of events for the entire Festival along with any other related matters.

After several deliberations and consultations, the committee hereby submits its report for final review and ratification of the general house.

Each of the five events to be held in the festival was given a Sub-committee that is responsible for the planning, execution and reporting of all issues related to their event. Also, each sub-committee is required to submit a final report within 7 days of concluding the festival including details of all activities, participants, winners and detailed financial report along with a full retirement of all remaining cash (with attached bank teller or cash receipt issued by the Treasurer) or proof of expenditure (duly

authorized) in case of any outstanding payments.

In particular, there are certain key recommendations we wish to forward for ratification.

A: VENUE OF THE EVENTS:

Even though we are not responsible for the venue and other logistics, because they will affect our plans and activities, the committee unanimously believes and emphasizes that of the three suggested locations for the festival (CoE Kumbotso, AKCILS and Mumbayya), the best place is Mumbayya House due to the following reasons:

  1. Whereas the other two locations may be cheaper (or at no cost),

they present a lot of logistics challenges in addition to the fact that we cannot have them exclusively to ourselves and we may face issues with lighting, convenience and security.

  1. We hereby suggest that we utilize Mumbayya House, because of the

following reasons:

  1. All the events can take place concurrently
  2. The main hall is suitable for our closing ceremony, considering

the caliber of guests we expect at the occasion

iii.           The National Executives can be hosted in the lodging available at

Mumbayya which will ease a lot of the logistics.

  1. The fact that the place is enclose and has a security set up, once

we have it to ourselves it  will make the participants and guests secure and comfortable

  1. Also it is easy to locate and reach by the invited guests
  2. There are public address, projector and convenience facilities

Though it will come at an extra cost, considering the number of halls we may need in addition to the rooms, we believe we could reach out to the management for a concessional offer. Once considered, the following thing could be easily considered and adopted by the relevant

  1. We should rent the main hall and two smaller halls for the first

day, while we use the main hall only, on the second day.

  1. The Verandah of the main hall should be used for exhibition
  2. All activities should be spread between the three halls and the

corridor as detailed in the report.

  1. DAYS OF ARRIVAL, PROGRAM AND DEPARTURE Based on the number of activities and their nature, we’ve realized that holding the activities on a FRIDAY will be extremely challenging and difficult because all the LOC members and other support staff are all from Kano and will have to depart for JUMA’AT which will cause a serious challenge and delay to the activities.

Thus we suggest slight adjustment to the overall program as follows:

Thurs 1st Sept, 2016

Arrival of the National Executives Council for visitations and Courtesy calls

Fri 2nd Sept, 2016

Arrival of state participants and their representatives.

Sat 3rd Sept, 2016

Day 1 for the festival

Sun 4th Sept, 2016

Final day for the festival and Departure

Note, the program will end on Sunday by 1pm but the bulk of activities will take place on Saturday during parallel sessions.

  1. CLOSING CEREMONY

Suggest that the closing ceremony involves two broad categories of activities namely:

  1. Children activities: which will be in two forms (a) Entertainment

(Nasheed and Drama) (b) Final Round of the Quiz, Khutbah brief presentation by the first  place winner in the exhibition

  1. Speeches and Prize distribution
